How to fill in the participant import Excel file?

Demo data to help you understand each column in the excel template

1. Adding participants without attributes:
If you are adding new participants to the system, the process is straightforward.

First, you need to download the import template. There are two different to get the template file:

  1. Download the template provided in the app by following the steps: MORE ACTIONS > Add participants > Import participants > Download Template

  2. OR, Download the import template directly by clicking here.

Note: If you download the import file from the app, the template will also have the attribute fields. However, if you download directly from the link above, you have to add the attribute field manually in the Excel template.

To help you understand how you should fill in the Excel sheet to import the participants, we have presented you a demo data below and the explanation for each of the columns in the table below:

COLUMN

Description

PARTICIPANT ID

Participant ID is an autogenerated identification number assigned to the participant by the Culture Intelligence platform so you can leave it blank when you are adding new participants into the platform.

When you are adding participants that already exist in the platform this field is mandatory. You will get the participant ID while exporting the participants list from the platform.

EMPLOYEE ID

This is a unique identification number of employees in your organization. If such a number does not exist in your organization, you can leave it blank as in the demo data

FIRST NAME
LAST NAME

Fill in this column with the first name and the last name of the participants.

PREFERRED LANGUAGE

In this column, you have to select the language in which you want to send the invitation and the survey to the participants.
Use the code “nb” for Norwegian, “en” for English and “sv“ for Swedish

EMAIL

Fill in the participants' email address.

2. Adding participants with attributes:

If you have attributes such as Team, Department, and Location it is important that you have added these attributes in the Culture Intelligence Platform before you prepare your import list. To add attributes, follow this article: How to assign attributes to a customer?

After you have added the attributes in the platform, you will be able to see it in the platform as below:

Once you have defined the attributes in the platform, you can download the import excel template from the platform which will automatically include the column for the attributes you have defined. To download the import template, Go to MORE ACTIONS > Add participants > import participants > Download template.

COLUMN

Description

PARTICIPANT ID

Team
Department

These are the user defined attributes and it should be filled only with the attribute options that have been defined in the platform.

For example, in the above demo data three attribute options (Admin, Sales, and Tech Team) for the attribute "TEAM" have been defined. So the column "TEAM" can only be filled with these three options. However, you can leave the cell blank if the defined attribute is not relevant for the particular participant eg: Cell H4 in the demo data is blank.

You can have up to 10 attributes.
